Board Meeting Ð October 12, 2004

President Arlene Abbott called the meeting to order at 4:11 p.m.
Karen Bland reported that there were some grammatical changes made, as well as the date changed in Tab XI from October 5, 2004 to October 12, 2004. There were no other changes or corrections noted. Annie Horey moved to approve the September 2004 minutes with corrections noted, seconded by Joan Lovitt. Motion passed.
¤ Treasurer Annie Horey reviewed the Account Balances Report, Transaction Report, Comparison Report and the 2004 AVHRA Budget Report. Discussion followed.
In a break-out session at the NHRMA Conference attended by Annie Horey, it was suggested that background checks should be completed on all check signers. Treasurer Horey advised the current practice is that she collects AVHRA mail, writes the checks for any invoices, signs the checks, and balances the checkbook. Treasurer Horey also advised that an audit is performed annually by an outside auditor. After much discussion on this topic, several suggestions were made:
Ÿ Continue to have an annual audit.
Ÿ Make note if a person pays by check or cash.
Ÿ Attach monthly bank statement to the balance sheet to be reviewed by the Board.
Ÿ Have an AVHRA member, other than the treasurer, balance the checkbook monthly.
Ÿ Treasurer Horey advised NRHMA was going to put a sample background investigation form on their web site.
Ÿ Check with other SHRM groups to see what they are doing.
Lynn Bourton made a motion to have an outside person balance the checkbook on a monthly basis. The motion died for lack of a second on this motion.
Jo Ann Tucker made a motion to form a committee to create a procedure for an audit check and balance system to bring to the Board at the November board meeting. Janice Soder seconded. Motion Passed. The committee will be made up of Arlene Abbott, Joan Lovitt and Jo Ann Tucker.
Discussion went on as to what type of background checks should be performed (i.e., criminal history, credit, etc.). No decision was made at this meeting.
President Abbott asked if anyone would like to comment about their experience at the NHRMA Conference held in Semiahmoo on September 13th-15th.
Ÿ Melissa Wear-Grimm said she thought the conference was excellent. She said that Sylvia told her she was disappointed in one break-out session (where she felt the presenter was selling himself more than presenting the topic); however, Melissa was pleased with all the break-out sessions she attended. She advised there were excellent sessions on hiring good people, etc. And lots of information on the NHRMA web site.
Ÿ Annie Horey said she felt there were not enough break-out sessions.
Ÿ Janice Soder said the break-out sessions were offered only one time. So, if there were two sessions you wanted to attend and they were offered at the same time, a person could only attend one. But overall, she was very impressed with the quality and organization of the conference and facilities.
President Abbott advised that, after many conversations, she finally received the invoice for the Working Life Skills for Women scholarship. She advised that the life skills course for this fall has been canceled.
President Abbott distributed 2005 AVHRA Call for Nominations, with a request for the Board to review and comment. She asked if there were any suggestions for a nomination for the Legislative Chair position. The member list was reviewed and discussed. President Abbott advised she would contact Angela Prader. If Angela is not interested, Barbara Davis will contact Rene Zamora or Leanne Dorsey. It was also suggested to contact the KIA HR manager.
The ballot will be distributed at the October general meeting and voted upon.
Melissa Wear-Grimm distributed and reviewed the survey results. Discussion ensued regarding program ÒtopicÓ. The top three were: Communication, Supervisory Skills and Strategic Planning/Organizational Skills.
Melissa advised that 10 of the 21 responses were not members. There was discussion on how to attract members back to AVHRA meetings. Suggestions were: mail a ÒWeÕve missed you!Ó postcard; put survey cards on the tables at meeting time, with one card marked for a doorprize; have the Board members each take 3 names to call and personally invite.
President Abbot shared that she was very impressed with Mary Miller from the Dept. of Labor & Industries who did a presentation on school to work. Other Board members shared what they liked and learned about the presentation.
Gil Sparks will do a legal update on October 21st. There was discussion on how much to charge for attendance at this meeting due to GilÕs expertise and excellent presentation. Jo Ann Tucker advised that after many discussions with GilÕs secretary (Judy), she was led to understand that Gil did not want any additional fees charged for his presentation.
President Abbott also advised that the ad in the Wenatchee World had incorrect fee information.
¤ Rich Hamilton is scheduled to do a seminar on customer service at the November 18th meeting.
¤ Brochures will be placed on the registration table at the October meeting.
¤ AVHRA goal is 200+ attendees.
¤ President Abbott asked each Board member to take a hand-full of brochures to hand out.
¤ President Abbott advised we may be able to have the brochures at the Chamber Expo.
¤ A suggestion was made to have the brochures mailed out in the Chamber newsletter. President Abbott will speak with Craig Larson about this.
¤ Lynn Bourton will contact the Downtown Association.
¤ Jo Ann Tucker submitted the seminar for certification credits.
¤ Continental breakfast will be provided.
December
DecemberÕs meeting will be the silent auction.
No other business was discussed.
The meeting adjourned at 5:10pm. The next Board meeting is scheduled for Tuesday, November 9, 2004, 4:00pm at Link Transit.
