Board Meeting Ð April 6, 2004

I.               Welcome / Call to Order

President Arlene Abbott called the meeting to order at 4:09 p.m.

 

II.             Presentation

President Abbott presented a plaque to Lynn Bourton Ð recognizing and thanking her for the excellent job she did as 2003 AVHRA president.

 

III.           Job Fair

Lisa Turner advised that AVHRA will have a panel at the Job Fair (April 21st) entitled ÒGetting A Job Ð Beginning to EndÓ. There will be five presenters (Annie Horey, Arlene Abbott, Lisa Turner, Gil Sparks and Melissa Wear-Grimm) Ð who will do 10 minute presentations on resume writing, appearance, selling yourself, questions not to ask (by both the interviewer and interviewee), and interview behavior. Arlene Abbott will also act as the moderator. President Abbott asked each person to forward their presentation materials to her by April 13th so she can put it all together.

 

IV.          Review and Approval of the March Minutes

President Abbott noted and thanked Karen Bland for the excellent job for the March minutes. Changes in the minutes were made as follows, all in Section XIV:

q      4th bullet: change name from Crallard to ÒCollardÓ;

q      6th bullet: change name from Honomira to ÒHanamuraÓ; change from Washington State Libraries to ÒWashington Library AssociationÓ;

q      7th bullett: reword paragraph to read: ÒFor November Ð Sherman Alexie Ð President Abbott is contacting both the Wenatchee Valley College and the Rotary to co-sponsor (diversity, education, leadership) this leadership seminar.

All present approved the March minutes with the above changes.

 

V.            TreasurerÕs Report

Treasurer Annie Horey reviewed the Balance Sheet, Transaction Report, Budget Report and Comparison Report. She noted the following: $170 received from Abby Snyder (owed from the auction), and $300 received from Gil Sparks (newsletter sponsor). Treasurer Horey advised that we are a little down in income and expenses (low turnout at general meetings), but hope to bring it up with the upcoming seminar. Ruth Williams asked if GilÕs $300 newsletter sponsorship payment was for the entire year Ð Yes. All present approved the treasurerÕs report with no changes.

 

VI.          Newsletter

Ruth Williams shared costs of printing and mailing the newsletter (300+ mailings per month). She asked if there was any way we can get a revised mailing list? Perhaps send online to non-members? AVHRA still gets a bulk rate in postage if we have 200 mailings. Annie Horey and Melissa Wear-Grimm advised they would work with Ruth on this, as people have moved, etc. Ruth also talked about purchasing Publisher for Eric West, as he updates AVHRAÕs web site. Ruth noted that we can purchase the 2002 version (which is compatible with the 2003 version) and receive a $70 rebate on the purchase.

Joy Neal moved to purchase the 2002 version of Publisher which is compatible to the 2003 version. Motion was seconded by Annie Horey. Motion passed by unanimous vote.

 

VII.        Legislative

Cami Glatt advised that she is not getting a lot of response to the letter writing campaign. She encouraged everyone to send her copies (through email is best) so that she can track them.

Barb Davis advised that we missed partnering with the Chamber Legislative Hotline by three days. This event will be discussed again next year.

 

VIII.      SHRM Foundation

Joy Neal will submit our application for the 2004 Chapter Champion Ð deadline April 30th. Joy shared information regarding this program, and noted that we met all criteria of (1) appointing a Foundation coordinator, (2) Foundation coordinator will provide a short update at monthly meetings, and (3) do a special Foundation event and making a chapter contribution.

Joy also advised that SHRM offers a regional scholarship program for SHRM members, in which each region has $6,000 to distribute in scholarships. These scholarships are awarded to members pursuing graduate or undergraduate degrees in HRM, members pursuing SPHR or PHR certification, and/or chapters promoting SPHR or PHR certification. Scholarship deadline is May 30th. Lynn suggested that our chapter apply for a scholarship to purchase the SPHR/PHR program learning system. Joan Lovitt and Arlene Abbott will work on the scholarship application.

 

IX.          AVHRA Academic/Certification Scholarhips

The question was asked of whether or not this scholarship should be linked with SHRMÕs. Joy will e-mail to Arlene the last scholarship application information. After Arlene reviews, she will meet with the scholarship committee (Arlene, Joy, Karen).

 

X.            Programs

April

q      The April meeting will be a half-day seminar entitled ÒPromoting Health & Wellness in the WorkplaceÓ Ð presented by Dr. Lennie Mees. The seminar is sponsored by Central WA Hospital, Chelan-Douglas Behavorial Health and AVHRA (each sponsoring $300). AVHRA will offset other costs.

q      It was noted that the Business Journal listed the April meeting as a ÒluncheonÓ meeting. JoAnn Tucker advised that the Business Journal had all of the information for AprilÕs meeting.

q      President Abbott advised she will bring the PUDÕs LCD projector and a laptop.

q      JoAnn reviewed with the board the Convention CenterÕs costs and menu.

q      Due to break times, the credits will be 2-1/2 rather than 3.0. Karen will make certificates to distribute at the seminar.

q      Drop-dead date to register is April 12, 2004.

q      President Abbott shared that she was contacted by Jerilee Crawford who started a new business ÒWelcome Neighbor!Ó. Jerilee requested a few minutes time to promote her business. President Abbott authorized five minutes.

q      Melissa Wear-Grimm moved to approve two non-member attendees from each of the sponsors attend the seminar at no charge. Motion was seconded by Joan Lovitt. Motion passed by unanimous vote.

May

q      May will be a luncheon meeting, with special guest speaker Javier Lozano, SHRM Pacific West Region. Mr. Lozano will speak on leadership diversity.

June

q      Neither Donna Schneider nor Rochelle Collard from the State Council were available to speak at the June meeting. It was suggested that we contact Scott Washburn Ð NHRMA president. Mr Washburn accepted, and will speak on SHRM membership.

q      Melissa Wear-Grimm suggested that AVHRA hold a drawing for one free SHRM membership to a non-member. All agreed that this was a good idea.

q      Melissa will be the primary contact for Mr. Washburn. President Abbott requested that she copy herself and JoAnn Tucker on all correspondence.

q      Lynn Bourton moved to approve a drawing for a $160 SHRM membership to a non-member attendee of the June meeting at no charge to the winner. Motion was seconded by Melissa Wear-Grimm. Motion passed by unanimous vote.

August

q      Partner with North Central Regional Library to host Steve Hanamura on the subject of diversity. Joy Neal shared that Mr. Hanamura will be speaking on ÒUnderstanding and Managing the Dynamics of DiversityÓ on August 11, 2004 from 1pm Ð 4:30pm. She advised that if AVHRA wanted to co-sponsor with $500, AVHRA members would be entitled to register for Mr. HanamuraÕs seminar at the libraryÕs member rate of $50 per person (saving $15 per person). There was much discussion regarding the pros and cons of partnering. In the end, it was decided to table this discussion until the May board meeting.

November

q      President Abbott spoke with the Rotary president, who advised the Rotary had decided to not bring Alexie Sherman to the Valley due to public perception that his fee was excessive to speak at a luncheon meeting. Therefore, President Abbott contacted Rich Hamilton, who does workshops on customer service, leadership, etc., based upon the Disney formula. Mr. Hamilton forwarded a lot of information to President Abbott. She spoke with him regarding AVHRAÕs Leadership series, in which he advised he can do a workshop for a cost of $6,500 (including airfare) Ð and AVHRA pays his per diem and hotel costs. President Abbott advised that the Wenatchee Valley College and the Rotary may be interested in partnering in this venture. President Abbott stated that we have several options in AVHRAÕs leadership series, and discussion ensued regarding how this would be the perfect topic (customer service) for small businesses without a huge cost to them. Discussion was tabled until next monthÕs board meeting. In the meantime, President Abbott will check Mr. HamiltonÕs references.

 

XI.          Membership Assessment

President Abbott distributed a copy of the AVHRA Members Assessment Questionnaire, prepared by Melissa Wear-Grimm and Sylvia Martinez.

q      Some changes/corrections were noted: (1) Delete the word ÒMembersÓ from the title of the questionnaire; (2) Under #2: Switch the column titles to reflect wording in the paragraph; (3) Add a line at the bottom stating that the person can make comments on the back of the form.

q      In an effort to encourage people to complete the questionnaire, Melissa shared an idea of holding a drawing for a gift-certificate to an AVHRA seminar for all persons who complete the questionnaire (at the June meeting). All board members approved.

q      Discussion of how to distribute questionnaire with minimal cost Ð insert in AVHRA newsletter, put on AVHRA website, and put questionnaire on the tables at meetings.

q      Melissa suggested sending an AVHRA pamphlet to Job Fair participants to include an invitation to the June meeting at the member rate.

Barb Davis moved to authorize the Membership Chair to invite the 2004 Job Fair participants to the June 2004 meeting at the AVHRA member rate of $10. Motion was seconded by Annie Horey. Motion passed by unanimous vote.

 

XII.        Other

President Abbott spoke briefly about:

q      Reminded the board of the 2004 Employment Law & Legislative Conference hosted by the Spokane Chapter of NHRMA on April 22, 2004.

q      She received an email from John Linder at the Skills Center who shared that he would like to create a continuing partnership between AVHRA and the Skills Center. It was suggested that the ÒJob Fair panelÓ could do a presentation a couple of times a year at the Skills Center. It would be a good outreach opportunity.

q      Reminded the board of the State Council meeting on May 7th at the Silver Lake Winery in Yakima.

q      Brief description of the Venulex vendor opportunity Ð board declined membership.

q      YWCA Scholarship Ð Treasurer Horey advised the YWCA should email information to her for payment. President Abbott advised she invited the last scholarship recipient to one of our regular meetings and asked her to share a little bit of what she learned through the YWCA training program.

And

q      The Business Journal contacted JoAnn Tucker. Apparently they want to do an article on AVHRA. JoAnn and Arlene will work with them on this article.

q      YWCA Leadership Luncheon is scheduled for May 20th. Discussion on this was tabled until the next board meeting.

 

XIII.      Next Meeting and Adjournment

The next Board meeting is scheduled for Tuesday, 4, 2004. The meeting adjourned at 6:03 pm.
